Administrative Assistant I
The Administrative Assistant will be responsible for providing assistance with general administrative, operational and office support tasks to the staff working closely across all departments to maintain day-to-day business operations.
ESSENTIAL JOB FUNCTIONS:
- Works under the direction and supervision of the Chief Pilot in the Flight Operations division.
- Assist the Chief Pilot with required job functions.
- Ensure the efficient daily operation of the Flight Operations General Office.
- Manage and delegate the flow of daily office paperwork and messages.
- Schedule appointments for Chief Pilot, Assistant Chief Pilot and Manager of Line Standards.
- Supervise staff of college interns and manage internship program.
- Maintain lines of communication with the pilots and other departments and divisions within the airline.
- Collection and tracking of monthly pilot payroll forms and other requests.
- Collection and tracking of crew communication reports, crew incident reports, and other correspondence.
- Distribution of travel passes to employees within department.
- Maintain pilot V-files, bulletin boards, personal files, and other information distribution systems.
- Maintain positive relationship with Crew Uniform providers, and other vendors.
- Maintenance and tracking of Flight Operations Department files and documents.
- Assist in tracking and coding of department invoices and expense reports.
- Ensure new-hire pilots are processed and administrative needs are met.
- Tracking and ordering of office supplies.
- Planning and organizing of meetings, forums, and other events for Flight Operations department.
OTHER FUNCTIONS:
- Performs additional functions (essential or otherwise) which may be assigned from time to time.
Job Requirements
TYPICAL PHYSICAL DEMANDS
- Repetitive motion such as: typing and phone work.
- Minimal physical exertion such as: pulling, pushing, reaching, bending, standing, walking, and light lifting of boxes, bags, files, and electronic equipment not in excess of 30 lbs.
TYPICAL WORKING CONDITIONS:
- Office work. Can involve long periods of sitting.
JOB QUALIFICATIONS
- High School Diploma/GED equivalent or Associates Degree (preferred).
- 2-4 years of office management experience.
- Some airline operations experience preferred.
- Must possess excellent organizational skills to meet deadlines.
- Strong oral and written communication skills and abilities.
- Proficient in: MS Office (Word, Excel and Outlook) and general internet applications.
- Some travel required.
SPECIAL REQUIREMENTS: Must be willing to work occasional odd hours including some evenings, weekends, and holidays. Some travel required
